Job Title: Legal Administrator

Location: Horsham
Hours: Full Time, 9.00am – 5.30pm Monday to Friday (1 hour for lunch)
Team Info: To join our busy Corporate and Commercial department

General responsibilities:

 

  • Invoicing

  • Invoice chasing

  • Preparing payments/receipts of money

  • Opening files on our case management system LEAP

  • Document preparation

  • Scanning documents to our case management system LEAP

  • Saving documents into our case management system LEAP

  • Closing matters and archiving

  • Taking telephone calls externally and picking up fee earners phones and taking messages if not available

  • Any other jobs as required to support the fee earners and other members of the team and not limited solely to the above

 

Anti Money Laundering responsibilities: 

 

We are required by law to ensure that we know who our clients and to check that they are not using laundered monies through the transaction that they are instructing us on.   

 

  • Taking instructions from fee earners to liaise with new clients and request ID to be uploaded to a software package which will check them by facial recognition and other electronic sources for legitimacy

  • Downloading ID from the software package to our case management system

  • Running insolvency searches and google searches

  • Sending the ID to the fee earner to sign off

  • Opening files on our case management system and sometimes in paper form too

  • Drafting risk assessment forms for fee earners to sign off

  • Drafting and sending out letters to the client with our scope of work and fees

  • Attending regular training meetings to keep up to date on the legislation

  • Checking the source of monies when coming into our bank account

  • Updating current client ID documents to ensure they are always compliant

 

You will also provide support to the Fee Earners and your immediate colleagues (secretaries and other support staff) in the team duties to include assisting others whenever it is evident that a colleague needs assistance with their work load, picking up calls when other team members are away from their desk, participating in cover rota i.e reception and for postal duties.
